Our client is looking to recruit a Chartered Legal Executive/Solicitor to be based in Taunton. This role makes an important contribution to the overall work of the New Homes Team and supporting the Team Leader with the ongoing growth and development of the team activities.

Supervision & Development
* Closely monitor work levels and resources within the team and review case splits regularly with Operations Manager ensuring an even distribution of work dependent on experience and capability. Report any over/under capacity issues to Operations Manager.

* Identify inefficiencies and areas of risk and recommend appropriate improvements to the system or ways of working, and implement improvement changes as appropriate

* Identify training needs of individual staff, including new starters.

* Arrange for team members to attend relevant training programmes either internally or externally where appropriate

* Carry out, or organise, yearly and half-yearly Appraisals with team members.

* Hold regular Team Meetings to include training and ensuring that the team are kept informed of relevant developments and their teams progress and performance

Performance, Policy Compliance & Service Standards
Working with Team Consultant/Operations Manager:
* Ensure work allocated is completed within service standards and that the team achieves all relevant targets and timescales

* Ensure that complaints are dealt with in accordance with the escalation procedures of the internal procedures

* Identify and deal appropriately with those cases that are outside of standard procedures

* Ensure that sign off procedures (e.g. exchange, completion, appointment) are dealt with in a timely manner and within the SLAs set by the clients

* Supervisory responsibility for team conduct and performance in relation to individual file management

Day to day Team Management
* Print and monitor workflow daily ensuring that the team focuses on delivering a pro-active approach and that the workflow system is used effectively (the method of use of the workflow to be agreed with the Operations Manager)

* To ensure that weekly updates and where applicable, use of developer Portals are kept up to date and delivered as per current procedures

* Identify any problems being experienced with the IT system and report to Business Support or IT where necessary

* Provide support and coaching to the team where necessary in terms of coaching and guidance to their team members

* Responsibility for HR issues, in liaison with HR team to include: Late to work interviews and Return to work interviews

* Implementing system to ensure that abortive files and completed sales files are closed and archived expeditiously

* To ensure that completed purchase files are sent to Post Completions expeditiously, with Transfer/Leases having been copied and filed to iManage

* To work with Post Completions to reduce/simplify the nil balance issues when it comes to closing files

* Any other duties as required to ensure that the team achieves its objectives

Client Management, Knowledge & Reporting
* Review regular MI reports, identify patterns/trends and discuss findings with the Operations Manager with a view to delivering improvements

* After consultation with Team Consultant, Attending meetings with referrers as required to build effective relationships

* Attending relevant training to maintain knowledge

* Help develop and implement the work flow for the new Mattersphere computer system

* Support team with title, transactional and day-to-day queries.

* Develop and maintain strong and effective relationships with referrers (to include Sales Negotiators, Sales Managers and Sales Directors) and their Solicitors. To become a “go to” person for the developer; and to look for opportunities to improve those relationships and/or extend the referral net with developers who are already referring work to us.

* To take primary responsibility for conveyancing issues – this may involve:
– Supervising and giving guidance to frontline Paralegals, Assistant Paralegals and Office  Administrators or effectively taking over the file
– Providing technical expertise in relation to conveyancing issues
– Dealing with any contentious client matters – this may be by telephone, in person or by email or letter

* To maintain a full understanding of the operating procedures of the team and be able to step in and carry out any of the procedures as and when the need demands. Ensuring an appropriate quality service and compliance for all matters in accordance with agreed standard policies

* During periods of absence, the post holder will if necessary step into the role of other significant team members to ensure that the work is carried out whether by doing it personally and/or by delegation

* The post holder assists with miscellaneous post completion matters that come up from time to time on a sale or purchase

* To support the Sales Unit Supervisor with regard to any difficult issues that they are unable to deal with and to step into their role when out of the business

* To consistently meet all KPI and targets and any other broader objectives as agreed on a quarterly and annual basis as part of the Team plans

Skills and Attributes

Proven technical knowledge and track record of a broad range of Property law

Experience of some business development and marketing activities and increasing the client base

A highly flexible approach and the capability to work well and flourish within a team environment

Excellent all round communication skills including the capability to develop and maintain strong client relationships

Ability to collaborate and work effectively with other colleagues internally, both within the wider team and across all practice areas

Proven commitment to working within a quality standard environment
